In this age of technology paper files are becoming obsolete; they take up space and use up trees. More and more, files are being stored completely on computers or other storage devices. If your office files need some updating, here are some steps to take that will modernize your office files and free up some needed space.

1. Sort- Sort through all the files you have been saving, do you really need to save all of them? Many files are commonly stored for seven years and then destroyed. So, if you have files that have been stored for more than seven years you should examine it to see if it really warrants further saving.

2. Organize- Organize the files that you want to transfer onto a computer or storage device. You will have to scan documents so it may be best to organize the documents that you want saved together so that you can do batch scanning, which will be faster than scanning a bunch of random documents.

3. Scanner- To make the transfer of paper documents into a computer or storage device successful you need a scanner. Simple document scanners are not overly expensive and can be very useful in an office environment.

4. Recycle- Once you have scanned all the documents, shred them and recycle them.

5. Simplify- Once the documents are in the computer or storage device, make sure that they are properly labeled and easy to find. There are specific computer programs that can help to organize files, but vigilant labeling should make things simple enough to find.

Storing your files in a computer or storage device will not entirely eliminate your need for paper documents, but you will at least free up some space in your office. When storing your files in a computer or storage device it is very important that you have everything backed up just in case the computer catches a virus or simply goes haywire.
